The short version. Your photo is processed in your own browser and is not uploaded to us. We count how often the tool is used, without knowing who you are. We do not show ads, we do not sell data, and no outside analytics or advertising company is loaded on this site.

Who we are
Passport Photo Maker is run by Passport Photo Maker. For anything in this policy, write to us through the contact form or at admin@qkconvert.com.
Your photos
When you choose or take a photo in the tool, it is opened by your browser on your own device. Finding the face, cropping, adjusting the light, building the print sheet and saving the files all happen there. The photo is not sent to our server, we do not store it, and we have no way to see it.
We do not create or keep any face template or other biometric data. The face detector only works out where the face is in the picture, so that it can be cropped, and that result stays in your browser and is gone when you close the page.
Usage numbers
To know whether the tool is working for people, we record a small event when the tool is opened, when a photo is loaded, and when a file is saved or emailed. Each event contains:
- the date and time;
- what happened (for example “print sheet saved”), the document type chosen (for example “US passport”) and the paper or pixel size;
- whether the device was a phone, a tablet or a computer;
- a scrambled code made from your IP address, your browser type and the date. It lets us count one visitor once per day. It changes every day, cannot be turned back into an IP address, and is not linked to your name or email.
We never store your IP address in readable form in our database. Detailed events are deleted after about four months. After that only daily totals remain, such as “212 photos saved on March 3”.
Files sent by email
If you use “Send it to your email”, the finished files and the address you typed are sent to our server so that it can send the email. This is the only case in which a photo leaves your device through this site. The files are attached to the email straight from temporary memory and are deleted automatically as soon as the email has been handed over, normally within a few seconds. We do not keep a copy of the files.
We do not keep the email address either. To stop people from abusing the feature we keep a scrambled code of the address for up to two days, which lets us limit how many emails go to the same address. It cannot be turned back into the address. The email travels through our mail server and the mail service of whoever runs your inbox, like any other email.
Messages you send us
When you use the contact form we receive your name, your email address and your message. We use them to answer you and keep the message for as long as we need it to deal with your question, and no longer than two years. Please do not send passport numbers or other ID details.
Cookies
This site sets one cookie, called ppsid. It holds a random session number that protects the forms on the site against forgery. It contains no personal data and disappears when you close the browser. Because it is strictly necessary for the site to work, it does not need a consent banner. We set no advertising, analytics or social media cookies.
Your browser does not store your photos for this site either. When you close or reload the tool, the photo is gone.
Server logs
Like almost every website, the server our hosting company runs for us keeps standard access logs. They contain the IP address, the time, the page requested and the browser type. They are used to keep the server secure and to investigate faults, are kept by the hosting company for a limited period, and are not combined with the usage numbers described above.
Who we share data with
We do not sell or rent personal data, and we do not pass it to advertisers. Data is only handled by:
- our hosting company, which runs the server and the mail service for us and may only act on our instructions;
- authorities, if the law requires us to hand something over. Since we do not hold your photos, there is very little we could hand over.
Your rights
Depending on where you live (for example under the GDPR in Europe and the UK, or the CCPA in California) you may have the right to ask what personal data we hold about you, to have it corrected or deleted, to object to how we use it, and to receive a copy. In practice the only personal data we are likely to hold is a contact message. Write to us through the contact form and we will answer within 30 days. If you are in Europe or the UK and are unhappy with our answer, you can complain to your data protection authority.
Our legal grounds for the processing described here are our legitimate interest in running and securing the site (usage numbers, logs, abuse limits), your request (contact messages, files sent by email).
Children
Parents often use the tool to make a passport photo of a child, and that is fine: the photo stays on the parent’s device like any other. The site is not aimed at children and we do not knowingly collect personal data from them.
Changes
If we change how the site handles data, we will update this page and the date at the top before the change takes effect. If the change is significant, we will say so clearly on the home page.
